To the current version

16 November 2022: Compulsory masking instead of segregation for infected persons

The state of Baden-Württemberg is abolishing the segregation requirement for people proven to be infected with the coronavirus. Infected persons who feel fit are therefore now allowed to come to work at the university - but are obliged to wear a mouth-nose protection there. In addition, recommendations on contact reduction, among other things, apply. The central hygiene policy will be adapted shortly.

9 November 2022: Third and fourth vaccinations for employees

As of December 5, 2022, staff members of the University of Hohenheim over the age of 60 can receive a third or fourth vaccination during their working hours from the company physician Dr. Ursula Häuser. Please register by November 17, 2022.

29 October 2022: Winter semester = On campus semester

Good news in the President's Circular: There are no significant restrictions on studying as a result of the new regulations effective as of 1 October. Our winter semester is therefore planned as a regular on-campus semester. A central hygiene policy is again obligatory for working at the university, but this also brings hardly any changes. However, institutions must revise their risk assessments, which may result in facility-specific changes to regulations.

The President's Office urges that these recommendations be heeded to ensure the summer semester can continue to be held on campus. Please note that this does not eliminate all requirements: By means of risk assessments, institutions and departments can continue to define infection control measures. They apply in the workplace and, if applicable, in lab courses.

1 April 2022: New Covid-19-regulations at work

In the workplace, basic protective measures are now no longer directly prescribed by law. Instead, employers now decide which measures make sense. The university management is currently updating the central hygiene policy and making recommendations on basic protective measures. But the exact - and mandatory - rules must be determined by the respective facility management on the basis of a risk assessment.

31 March 2022: Study operation: Mask recommendation still applies

As of 3.4.22, protective measures are no longer mandatory in study operations. However, in view of high infection rates, the university management strongly appeals to all students and lecturers to continue to observe the basic protective measures. This applies in particular to the wearing of masks indoors. Only together through responsible action by all we can ensure a face-to-face study mode.

The warning level that is now in effect and a new Corona ordinance make it possible: From now on, 3G instead of 2G applies to non-teaching events. The table for event planning has been updated accordingly. Regulations for study operations will follow in the next few days.

17 February 2022: Consensus on regulation of working hours in line with requirements

In his last circular e-mail, the President had announced that the framework working time had been extended again and emphasized that this should only be used for a short time and in case of urgent need. The previous internal university rules already provided for ensuring the ability to study even for students who are unable to attend classroom events. 26 May 2021: Standard period of study also extended for SoSe 2021

The Ministry of Science has announced that the individual standard period of study, which is decisive for the duration of BAföG funding, will probably also be extended to the summer semester of 2021. For students enrolled in this semester, the maximum duration of support for all courses of study will thus be increased by one (additional) semester. However, implementation still requires a legal ordinance from the Ministry of Science, which is currently being drafted. However, the Studierendenwerk has already been informed of this.

25 May 2021: Compulsory test or not? Thu/Fri bring self-test as a precaution!

From Thursday, 27.5., the first opening stage according to the current Corona regulation will apply in Stuttgart. This probably means no compulsory testing for attendance events such as exams or laboratory practicals, but this has not yet been definitively confirmed by the responsible Ministry of Social Affairs. In the worst case scenario, it could become clear at very short notice before the exams that access will only be granted to those who can prove a negative test, a complete vaccination or a survived Corona infection.

The university therefore asks all students who have on-site events on Thursday and Friday to prophylactically and on their own responsibility take a Corona test and bring the certificate with them. Should mandatory testing be introduced, the university will set up a testing center at Steckfeldstrasse 2 in the short term, but no later than Monday, May 31.

As a further consequence of the new legal framework, from now on elective module practicals and individual appointments for Corona first semester courses can also be carried out in presence.

16 May 2021: New Corona Ordinance: Opening up with question marks

With the new Corona regulations, the currently offered on-campus courses can continue - and some additional, supplemental on-campus courses may soon be possible. This is because the new regulation provides for the restrictions to be eased depending on the incidence levels. BUT: For the summer semester, the primacy of online teaching will remain. AND: The exact form of the opening steps is still unclear at the moment; it is currently being clarified together with the responsible ministries. The university management therefore asks for your patience.

14 May 2021: New Corona Ordinance - no changes at the moment

As of today, a new Corona Ordinance of the state is in effect. For the University of Hohenheim, this does not yet change anything with regard to the high incidence figures in Stuttgart, but the new version provides for opening stages in the event of falling incidences. We will keep you informed as soon as we know what this means specifically for the University of Hohenheim.

6 May 2021: Update - Masks in the car, home office and exam views

Due to recent changes in the legal situation, the central hygiene policy has been adapted. An overview of the changes:

  • From now on FFP2 masks are recommended in vehicles, and
  • Employees must accept the offer of working from home if there are no reasons for not doing so.
  • In addition, the President's Office clarifies that alternative examination formats such as seminar papers may also take place on campus.

Chancellor’s email

10 May 2021: Vaccination entitlement for all employees

It is expected that all employees at the University of Hohenheim will be entitled to vaccination from mid-May. You can already apply for a certificate now. The restriction to a certain group of people no longer exists.

6 May 2021: Certification of vaccination entitlement - update on the procedure.

Note to all those entitled to vaccination who request a certificate: You will need the original certificate when you are vaccinated. Therefore, you will not receive it by email, but by mail to your home address.

5 May 2021: Vaccination entitlement for some of the employees

From mid-May, some groups of employees at the University of Hohenheim will be eligible for vaccination. They can already apply for an employer's certificate. It is currently unclear whether this group of people can be expanded again before vaccination prioritization is likely to be dropped completely in June. The university management will keep you informed as soon as further information is available.

4 May 2021: Test offer also applies to students with final theses on campus

A clarification regarding the test offer: Students who are working in laboratories or rooms with experimental set-up in the context of bachelor or master theses may also use the test offer of the University of Hohenheim. Here is a summary of all eligible groups:

  • All employees working in presence
  • PhD students
  • Participants in practical courses
  • Students with final theses in laboratories or rooms with experimental set-up

Info sheet Corona tests - now also with instructions for disposal

4 May 2021: Procedures on vaccination entitlements and vaccinations for employees still being coordinated

After the CoronaImpfV in the version of April 30, 2021 now contains new regulations for additional vaccination authorizations for employees from mid-May, which also affect the universities, the university management is receiving an increasing number of inquiries on the subject of vaccination. The university is currently examining the implementation of the regulations of the CoronaImpfV and is currently in an exchange with the Ministry of Science.

At the same time, the university has already made preparations to be able to carry out a certain number of vaccinations for employees in Hohenheim as soon as this is possible. We will inform you in more detail as soon as possible.

3 May 2021: On campus courses remain suspended - even before final exams

The media reports about the new version of the Corona regulation are misleading: The university management emphasizes that only practical courses may continue to be held on campus on the basis of the valid general decree of the rectorate. As before, the rectorate must decide on all other events on a case-by-case basis.

30 April 2021: Covid-19 Self Test - Instruction and Training Video

A training video (German) and instructions (German and English) are now also available for the Covid-19 self-tests. All information incl. links can be found in the Infosheet Covid-19 tests.

28 April 2021: Extended pick-up times Corona self-tests for employees

The Campus Service informs that in week 17 (27.04. - 30.04.) due to the great demand the issue times for self-tests have been extended:

  • Wed and Thu 9:00 a.m. - 12:00 p.m. and 1:00 p.m. - 3:00 p.m.
  • Fri 9.00 - 12.00

You can pick up two self-tests directly from the disinfectant dispensing point at the Verfügungsgebäude at the Delivery (rear of Building 03.26).

Please continue to pay attention to the applicable spacing rules and the wearing of a medical mask, especially in queues in.

26 April 2021: Update: Corona tests for employees

With immediate effect, the University of Hohenheim is making self-tests available to its employees, doctoral students and internship participants. However, the citizenship tests remain a building block of the testing strategy.

The framework hygiene concept has been revised in this regard. It has also undergone several updates in the meantime, due to legal changes in quick succession.

The recommendations regarding masks have also changed in the framework hygiene concept: Occupational Safety now increasingly advises the use of FFP2 masks.

23 April 2021: Laboratory courses can take place as planned

Courses can continue for the time being: Lab courses don't have to be cancelled after all. This was initially feared by the amendment to the Federal Infection Protection Act. But today, the states have turned to the federal government with their interpretations of the law, and finally the Baden-Württemberg Ministry of Science has given us its interpretative guidance, which is authoritative for us.

22 April 2021: Consequences of the Infection Protection Act still unclear

The amended Federal Infection Protection Act has come into force - but the consequences for universities in Baden-Württemberg are still unclear. The state government has announced that it will make adjustments in this area. Whether or not on-site practical courses will actually have to be banned as of Monday will therefore only become clear in the next few days. What we know: Examinations, inspection of graded exams, research and laboratory activities, experimental theses, and Humboldt reloaded projects may continue on campus. Digital teaching is, of course, also unaffected by the changes.

21 April 2021: LRK criticizes amendment of the Infection Protection Act

In a press release today, the State Rectors' Conference (LRK) sharply criticized the pending amendment to the Federal Infection Control Act. Literally it says:

The chairman of the State Rectors' Conference of Baden-Württemberg universities, Prof. Dr. Stephan Dabbert, expressed dismay at the impact of the new version of the Infection Protection Act on universities. "The Infection Protection Act means a 'non-semester' for many students in the natural sciences and technical courses as well as medicine, and will lead to delayed graduations." Since universities have not been drivers of the pandemic so far, rules must now be included, at a minimum, in the law's implementing regulations to allow these programs to continue to operate.

20 April 2021: Federal Infection Protection Act could prohibit on-site practical courses

Update: The federal Infection Protection Act, currently being debated in the Bundestag, could ban practical courses on campus depending on incidence levels starting next week. Examinations, research, and other laboratory activities that are not instruction would still be allowed.

The Bundesrat is expected to pass the bill on Thursday. Although the HRK and LRK are trying everything to get other regulations passed for universities, lecturers and students should already be prepared for the fact that practical courses on campus may only be feasible this week, as the relevant incidence thresholds have already been exceeded in Stuttgart.

18 April 2021: Covid-19-regulations extended until May 16

At the moment, there are no changes relevant for the University: Baden-Württemberg has extended the state's Corona restrictions until 16 May 2021.

However, lab courses could potentially be affected by the “national emergency brake" next week - the University Management is in talks to avert this.

There is still no compulsory testing within the University, but testing offers do exist. Employees can take advantage of "citizen testing" during working hours; other offers will follow.

And of course: Wherever possible, employees should work from home.

07 April 2021: Corona rapid tests - planned offer and pilot project

The chancellor provides information on the current interim status for a planned Corona rapid test offer on campus.

As an interim solution, employees can take advantage of a free "citizen test" off campus during working hours.

In addition, a pilot research project will start soon to prepare the Hohenheim test offer. Employees are invited to participate as test subjects and can obtain rapid tests for this in advance via the university.

06 April 2021: Updated Guidelines

The following guidelines have been updated. The main changes at a glance:

  • inspecting graded exams: from 10 applicants in presence allowed, however, there may be a maximum of 20 participants per session.
  • Practical courses: explanations regarding practical courses outside the campus area
  • Events other than courses: Events are currently to be held in presence only on a restrictive basis. Some events must be approved by the Rector's Office. The basis for decisions is the form “Reporting an event”. Approval is mandatory for events hosted by external institutions/partners as well as events that do not meet the university purpose. Please check the events currently scheduled on the campus and submit the form “Reporting an event” as early as possible. Send questions to corona-veranstaltungen@verwaltung.uni-hohenheim.de
  • Group Exams
  • Oral Exams

In all of the above Guidelines, the instructions for entry, participation, and wearing masks (medical masks) have been adjusted. This has also been updated in the Terms of use for university rooms.

7 March 2021: Covid-19 Restrictions Extended to 28 Mar 2021 - With a Few Changes

The state of Baden-Württemberg has extended the Covid-19 restrictions until 28 March 2021. There is one change related to the mask requirement: Students are now also required to wear medical masks. The libraries will also partially open in the course of the coming week. The existing provisions for universities have mostly been extended. The President's Office extended the corresponding general order on 7 Feb.

28 February 2021: Still no priority Corona vaccination for university lecturers

With regard to the state's vaccination strategy, the Ministry of Social Affairs has stated that initially only persons who have direct contact with pupils at a primary, intermediate, secondary, community or secondary modern school, grammar school, SBBZ or vocational school are entitled to vaccination. This applies, for example, to university lecturers at teacher training colleges during practical training at one of the above-mentioned schools. University lecturers in general are therefore not yet vaccinated as a priority.

22 February 2021: Please note that masks are mandatory!

A reminder to all employees and students: Masks are compulsory on the entire campus. Outdoors, wherever the distance of 1.5 meters cannot be safely maintained, and always in the area between the Biology building / Audimax / Mensa and in the waiting and entrance areas in front of the buildings / lecture halls

14 February 2021: Regulations extended until March 7

The federal and state governments agreed last Wednesday, February 10, 2021, on an extension of the Corona-related restrictions (exceptions: openings for KITAs, schools, hairdressers) until March 7, 2021. In the meantime, the new Corona ordinance of the country and the Corona ordinance study operation are also available.

This time, there are no changes for study operations: the previous regulations applicable to universities continue to exist and are also extended until March 7, 2021. The corresponding General Disposition has been extended.

11 February 2021: Waiting room before exams in case of travelling long distances

Some students will be travelling long distances to get to campus and might arrive a couple of hours prior to the exams. The university set up a central and supervised waiting room for these students at the Euroforum (Katharinasaal).

Due to the limited capacity, the use of the waiting room is limited to students with a long travel distance to the university. Please be prepared to show a proof of a long travel distance (e.g. train ticket, address) and the time and date of the exam (HohCampus).

Students have the possibility to book a seat in the waiting room daily via the learning platform Ilias under "Booking waiting seats" for the following periods:

The Senate has approved key points for teaching in the coming summer semester. To provide planning certainty, the entire range of courses, with the exception of lab courses and exams, will be digital - with supplemental, on-campus offers not relevant for exams if the infection situation permits. The quality of teaching remains the focus.

4 February 2021: No priority Corona vaccination for university lecturers

University lecturers are currently not included in the previously established priority groups, so they are not prioritized for vaccination. To date, three priority groups have been established in the federal coronavirus vaccination regulation. Teachers are listed in the third priority group under Section 4, No. 7. According to the Ministry of Science, university lecturers do not fall into the group of teachers and are therefore not vaccinated as a priority.

2 February 2021: Overnight stay because of exam is allowed

A note for all students who live further away: Anyone who has to spend the night in an accommodation facility because of an on campus exam is allowed to do so. • medical masks are to replace community masks and
  • the 10m² rule in shared spaces.

The regulation relevant for studies has not yet been published - however, the Ministry of Science has informed universities in advance that no major changes are planned. I.e. on-site examinations are still possible within the Hygiene Policy. This also applies to practical courses.

7 January 2021: Information on On-campus courses

The federal-state resolutions provide for a continuation of the previous regulations and restrictions, and in some cases also for tightening. However, it is not yet possible to assess whether the universities will be affected by tightening, as neither the state's new Corona ordinance nor the Corona ordinance on study operations are yet available. The university management expects the new Corona Ordinance by the end of the week, and the new Corona Ordinance Study Operations has been announced for January 9, 2021. Based on this, you will then be fully informed on short notice.

The university management currently assumes that it will continue to be possible within the previous framework to carry out internships on site if these are mandatory as compulsory or elective courses and can only be carried out in presence due to the requirements on the infrastructure. Whether this will be confirmed, however, will not be known until next weekend.

6 January 2021: Stricter lockdown nationwide

In today's circular mail, the President points out that according to the Corona Regulations, it is not possible to review graded exams on campus. The President's Office may only allow exceptions if they are absolutely necessary and cannot be replaced digitally. Since it is possible to review exams digitally - although this is considerably more complicated for all those involved - they must currently be carried out digitally, e.g. as part of a digital consultation hour (video conference with the student). If the re-take date for the exam is not for several months, you can also wait and see whether on-campus formats will be possible again at a later date.

30 November 2020: President's Office extends exceptions for on-campus courses

The new versions of the state’s Corona Regulations stipulate that courses can still not take place on campus. The President's Office is therefore also extending the regulations at the University of Hohenheim, which stipulate certain exceptions. These exceptions relate to practical courses, examinations and admission procedures as well as the question of which groups of persons may enter the university buildings. The regulations apply from 1 - 20 December 2020.

However, the Human Resources Department sends a copy of each request to the KIM, as this is necessary for the further recording of IT-structural requirements. The Staff Council also receives a copy as agreed.

8 October 2020: Appeal - please follow the rules for reducing contact and hygiene strictly!

The corona infection figures are rising; in the district of Esslingen, for example, the 7-day incidence of 50 was exceeded yesterday. The state government therefore declared pandemic level 2 yesterday. This is the so-called rise phase, in which increased attention is required. It is now important to act in a targeted manner and to interrupt infection chains in order to contain the incidence of infection.

For the members of the University of Hohenheim, this does NOT mean at the moment that people from the Esslingen district, for example, are no longer allowed to come to Hohenheim to work or study. In Baden-Württemberg, there is currently only a ban on accommodation for guests from a hotspot, and conditions for private parties have been imposed. For the University of Hohenheim, there are no new regulations that have not been taken into account in the hygiene concept.

However, the university management appeals to all members of the university to strictly adhere to the rules for reducing contact and hygiene! This means:

  • Keep distance,
  • Observe hygiene measures,
  • Wear a face mask and
  • ventilate the room regularly and sufficiently

Please follow these rules even if you personally consider them excessive or not relevant! THANK YOU!

16 September 2020: Submission of Purchasing requests - from now on without pre-scanning

In the context of the special situation around the Covid 19 pandemic, purchasing request could be forwarded as a scan to the Central Purchasing. This deviation from the normal, paper-based process caused a lot of additional work there.

Since the delay caused by the established paper process is now only a few days, Central Purchasing is asking all institutions to once again refrain from using scanned purchasing request.

In exceptional cases, a case-related, faster solution can still be found in coordination with the Central Purchasing  by e-mail in urgent cases or the release for in-house procurement can be granted. Please contact the Central Purchasing for this purpose.

6 July 2020: Background on the risk assessment questionnaire

In the context of Covid-19, occupational safety is currently a subject of intense discussion on campus. This includes expressing dissatisfaction with the risk assessment questionnaire (with regard to the topic of Covid-19), which in the Chancellor's view is based on misunderstandings.

In today's circular mail, she explains that the questionnaire on risk assessment does not create any new obligations for superiors, but documents that superiors have fulfilled their responsibilities. It proves that everything necessary has been done and therefore provides legal protection for superiors. The questionnaire serves as an aid, but is not a binding formal requirement for a suitable risk assessment.

29 June 2020: Corona-related amendment of the Temporary Science Contracts Act with extension of the maximum term limit

Due to the Covid-19 crisis, there are sometimes considerable restrictions in the work of scientists. As a result of these delays, some scientists in the qualification phase are reaching the end of their fixed-term contracts, which the WissZeitVG offers for this purpose. Among other things, the "Act on the Support of Science and Students due to the COVID 19 Pandemic (Science and Student Support Act)" extended the maximum time limits in the qualification phase. The new law came into force retroactively as of 1 March 2020.

According to the new Section 7 (3) WissZeitVG, the total permissible fixed-term period is extended by six months if an employment relationship for the purpose of qualification (fixed-term in accordance with Section 2 (1) WissZeitVG) exists between 1 March 2020 and 30 September 2020. It is not necessary for the employment relationship to exist for this entire period. It is sufficient if the contract exists or has existed at any time during this period.

Existing contracts are not automatically renewed and there is no right to an extension. An extension for up to 6 months requires a standard application from the institution to the Human Resources Department.

This does not apply to scientists employed on a fixed-term contract with a so-called third-party funding limit (time limit according to § 2 para. 2 WissZeitVG). The time limit is based on the project duration. If this is extended, the fixed-term contract can also be extended.

26 June 2020: No blanket postponement of the expiration for remaining leave from 2019

Various questions arise as to whether a postponement of the expiration date of the remaining leave from 2019 is to be expected. According to the existing regulations, it expires on 30 Sept 2020. A blanket regulation on postponement is neither planned nor permitted.

In a communication dated 16 April 2020, the Ministry of the Interior and the Ministry of Finance agreed to postpone the expiration date to 31 March 2021 only in justified individual cases. It is relevant whether a request for the use of remaining leave until 30 Sept 2020 cannot be approved for reasons related to the job. A strict standard must be applied to the conditions for refusing leave. Please note that the Staff Council must have a say in such a refusal of leave. The Human Resources Department is responsible for including the Staff Council. The question of extending the transferability of the remaining leave can therefore only be examined once a written leave refusal has been issued.

It is irrelevant whether the employees wanted to take leave so far. It is also examined whether since March 2020 (outbreak of the pandemic and start of the shutdown of the UHOH's social life and on-campus operations) there have been official reasons why the remaining leave carried over from 2019 could not be taken.

26 June 2020: Standard period of study in Baden-Württemberg extended

3 June 2020 Handling and availability of oronasal masks

The handling of oronasal masks is one of the aspects that are not easy to understand, even by experts, either because of the constant changes in the specifications or because of the very different evaluations.

The Chancellor announces that the Rectorate will therefore once again discuss this topic in detail and decide how to deal with masks and which masks will be made available at the university. Until then, no further disposable masks will be centrally procured and made available for the time being.

The Chancellor also points out that neither disposable nor community masks protect the wearer, but serve to protect others. Wearing these masks therefore does not relativize the distance requirement. Even if such masks are worn, the minimum distance of 1.50 m must be observed.

13 May 2020: Registration and conduct of examinations in the second examination period

We are currently clarifying which lecture halls are suitable for examinations. For this reason, the examination dates will only gradually be set.

Starting this week, the make-up examination dates from the second examination period in the WS 2019/2020 will be scheduled. The first exams will take place from 2 June 2020.

Currently, we have about 134 exam places instead of around 1300. Right now, we are planning to continually increase the number of possible examination places.

This means that large exams must be postponed indefinitely until further notice. We will do our best to find out whether it will be possible to hold these examinations later this semester and inform you as soon as possible.

Since the number of seats for the currently usable lecture halls is so limited, please register by Wednesday, 13 May 2020, at the latest for all examinations of the winter semester 2019/2020 that you would like to take. It is irrelevant whether this examination was cancelled in March or whether it was scheduled in the week of Pentecost.

Please also cancel your exam registration by Wednesday if you do not want to take the exam. Please be fair and give your place to other students who need the examination for their degree.

This will tell us how many students still need to take which exams from the winter semester.

Only once we know this can we determine whether the exams can take place or can be planned.

Unfortunately, we are forced to limit the number of seats available for the exam. It is therefore possible that you will later not be able to register once the examination date is set.

As soon as the binding date has been set, you will also be able to view the dates in HohCampus. For the first exams from 2 June 2020, the dates will be published from 14 May 2020.

Of course, you can still cancel your registration up to 7 days before the exam if you are unable to take the exam on the scheduled date.

From 4 May onwards courses can be conducted in a classroom setting with very small groups (maximum 5 participants including supervisor), if the courses can't be conducted as online courses. The rules of the hygiene policy must be observed.

Also possible from 4 May: Outdoor courses on the University campus and in areas which are within walking distance from the campus for students. Furthermore, they may only take place if online-based operation is not possible. The maximum group size is 5 participants, including teaching staff. The rules in the hygiene policy must be observed.

Group exams are scheduled to start again in the coming weeks, but not yet as originally planned from 18 May, but a little later. First of all it is the turn of catch-up exams from the winter semester. When they start has not yet been decided and will be announced as soon as possible.

30 April 2020: Information for course and examination planning

At the beginning of calendar week 19 (4-5 May) 2020, all room bookings for all types of events for the period 1 May - 18 July 2020 will be cancelled, so that rooms in HohCampus can be requested again from Wednesday. (Appointments remain unchanged.)

Please note:
Dates for examinations may not be created as new events or as additional dates for existing events, but must be handled using the separate examination date editing function, as taught to event managers in the training courses.

Once all room reservations have been canceled, only room bookings for self-organized examinations and exams that are to be held in accordance with the Hygiene Policy, and for lecture recordings should be made for the time being. A concept is currently being developed for the implementation of larger examinations, which is based on the extensive availability of all rooms/lecture halls that are suitable for examinations under corona conditions, and which are to be centrally equipped for this purpose. Bookings for purposes other than those mentioned above are not possible, there will be NO classroom events other than examinations and possible internships on campus this summer semester.

The role of "teacher/examiner" will be given additional rights, which will be communicated to those concerned in detail by e-mail. Among other things, additional fields of courses and dates can be edited with this role via the menu item "My courses and examinations". Room requests can be made for released events. Unfortunately, this is not yet possible for exams, where there is read-only access to event and room data.

Please use this form and send it either by email (zim-projekt@vdivde-it.de) or via the secure upload platform.
  • Temporarily, the signatures of the staff members for hours worked and to be invoiced can be waived on the attachment 1b to the payment request. However, the payment request should still be signed, if necessary with a simple digital signature (in this case, the form must be saved as a pdf file and then signed, since a direct signature is not yet possible in the form).
  • The timesheets must still be kept, and must be signed and submitted at a later date of which you will be informed.

The VDI/VDE-IT as the responsible project management organzsation does everything in its power to maintain business operations in the best possible way. Should there nevertheless be delays, it asks for your understanding.

27 March 2020: Further increase in case numbers in Baden-Württemberg

In Baden-Württemberg, the number of confirmed infections continues to rise strongly. It rose from 7252 the day before yesterday to 8441 yesterday.

In Spain, the Robert Koch Institute has included the regions of Navarra, La Rioja, and Paìs Vasco in the list of risk areas. Hubei province in China has been removed.

26 March 2020: No loss of BAföG entitlement for those involved in the fight against the coronavirus

Anyone who is involved in the fight against the coronavirus pandemic in health care, in social institutions, or in agriculture will only be credited with additional income for the time they work. The German Bundestag passed a corresponding amendment to the law yesterday.

According to the previous law, the total amount of income was credited to BAföG for all months of an approval period. The crediting does not only affect the months of employment.

For BAföG recipients who are involved in the fight against the pandemic and earn a comparatively high income for only a few months, this could lead to the loss of their BAföG entitlement for the remaining approval period after the crisis. This is ruled out with the regulations now approved by parliament.

BAföG recipients retain their entitlement before and after a remunerated commitment to combating the pandemic. BAföG will only be credited in the months in which BAföG recipients earn an income.

21 March 2020: New service portal for teaching and support for the transition to digital teaching

How do I supervise my students without attendance? Is an ILIAS forum the appropriate format for the digital design of my seminar? Which tool can I use to interact with students and other lecturers? These and similar questions are now answered by the service portal for lecturers with the media-didactic focus "Teaching Remotely - Your Digital Course".

Lecturers can now find support here for organizational, technical, didactic, and content-related questions regarding the conversion of courses to non-presentation formats. In the newly created area of focus "Teaching Remotely - Your Digital Course" you can send your concerns to a collective address. From there, your questions will be forwarded to the right contact person and answered. Telephone or digital consultations are just as much a part of the help offered as are collections of material on (digital) teaching.

In order to be able to offer you practical solutions for your teaching as quickly as possible, a preliminary version of the pages of the Service Portal for Lecturers and the focus area "Teaching Remotely - Your Digital Course" have been activated. The services and materials will be continuously expanded and completed, taking into account your questions and consulting experience. If you think something is missing, your feedback is very valuable for us. We look forward to helping you with the teaching arrangements this summer semester and to working together to turn this challenge into a positive teaching experience for you and your students.

20 March 2020: Passes in case of shelter-in-place ordinances

To the heads of institutions at the University of Hohenheim:

In order to prepare the university for possible shelter-in-place regulations, a process is currently being developed to prepare employer certificates for the necessary access to the campus.

You have already - in cooperation with the faculties - prepared emergency contact lists. Please check these emergency contact lists or duty rosters to see which persons need access to the campus. Probably not all the people who are needed on campus are on the previous lists, which had a different goal (information chains and contact persons).

Today you have received an Excel list by email, in which you are asked to fill in the names of the persons who maintain the campus (care of technical facilities, animal care, etc.) and who are therefore absolutely needed on site. Please also remember to appoint further representatives directly as a precautionary measure, and to ensure through duty rosters and organizational arrangements that these persons are not on site at the same time. This group should be able to ensure the necessary work in the long term. Please also think about whether neighboring departments can support each other.

Please complete the Excel list as a supervisor in consultation with your employees. Please use only this Excel list, as we have linked the format to the already designed document for the pass in order to be able to generate the passes automatically. Please send the list quickly to the Human Resources Department from your Hohenheim account to: apo@verwaltung.uni-hohenheim.de. The Human Resources Department will then send the completed pass to you and the respective employees as a scan. Employees should print out the document and countersign the confirmation printed on it in order to proceed with caution.

20 March 2020: Faculty administrations ensure basic operation until 20 April 2020

19 March 2020: Video message from the President

No attendance courses, no examinations, home as the regular workplace: the University of Hohenheim has closed its on-campus operations, aiming to make its contribution to the containment of the corona epidemic. It also strives to protect the health of all members of the University - but at the same time maintain the basic University functions, explains President Prof. Dr. Stephan Dabbert. This balancing act now requires improvization and creativity. The President addressed University members with a video message.

19 March 2020: DFG call for proposals for research on epidemics and pandemics

The German Research Foundation (DFG) has launched a call for proposals for an interdisciplinary funding initiative. Funding will be provided for projects dealing with the prevention, early detection, containment and research into the causes and effects of epidemics and pandemics and how to deal with them using SARS-CoV-2 and other human-pathogenic microorganisms and viruses. Read more (in German)

    19 March 2020: Information on DFG-funded projects

DFG-funded projects also suffer considerable disruptions in regular research operations. The DFG provides information on the progress of project work: Letter from the DFG (in German)

19 March 2020: University printing house closed until further notice

Due to recent events, the University printing house will be closed from 19.03.2020 until further notice. During the closure, it will be checked whether urgently needed print jobs are available. These can then be collected by arrangement. We will inform you as soon as the printing house is open again.

19 March 2020: locking rules with closed on-campus operations

The following locking rules apply at the University of Hohenheim now:

In buildings that are not managed by a caretaker, users continue to regulate access themselves. Users are required to lock the buildings immediately after entering them.

In buildings managed by a caretaker, users gain access themselves using the existing keys. In most buildings, the office key also locks the entrance door. If, in exceptional cases, there is a need for keys, the campus service accepts the request via Schluessel@verwaltung.uni-hohenheim. Please note that we can only issue keys that are already in the building. It is not possible to order new keys. Due to long delivery times, these cannot be ordered at short notice.  Users are required to lock their keys immediately after entering the building.

The caretakers make several inspections during the day to check whether the buildings are locked. The last inspection is at 8 pm.

    19. March 2020: rapidly increasing number of infections

The number of confirmed infections in Baden-Württemberg increased rapidly from 1.641 to 2.184 (day before yesterday / yesterday).

18 March 2020: Information for all Lecturers

The University of Hohenheim is asking all lecturers to please be prepared for teaching to begin on 20 April 2020 - although it is not yet clear whether on-campus events at the University will be possible at that time. We must be ready for the possibility that teaching in the summer semester will have to take place partly or completely in other formats, especially digital ones.

As things stand at present, lectures will end as planned on 18 July 2020. This means that the lecture period will be shortened by 2 weeks due to the late start on 20 April 2020. The number of ECTS credit points awarded remains unaffected.

For blocked courses in the Faculty of Agricultural Sciences and the Faculty of Natural Sciences, the blocked periods will remain unchanged. For modules in the first blocked period, the faculties will work out solutions for the organization of the modules together with the module supervisors. Students are requested to register immediately for these modules in ILIAS so that they can be informed about the module organization.

Not all courses can be converted from presence to online format. Recommendations are currently being drawn up for these cases.

The Task Force "Home Study" - a team with members from KIM, the University Didactics Office, the Office for the Further Development of Teaching, the Media & Marketing Department, the Department of Student Affairs, and the Steps Projects - will support lecturers in switching to online formats. It is developing information packages for lecturers that will include recommendations on online formats and available technical tools on the design of online teaching formats, tool performance limits, sources of supply, legal aspects, and contacts for support. The first information packages are expected to go online at the end of the coming week and will be successively supplemented. Separate information on availability will follow. You can already inform yourself about options in ILIAS in the ILIAS course Instructions for Online Teaching.

KIM is currently creating the possibility to record events on video in several lecture halls. In addition to the existing equipment for recording in the Audimax and in B1, these are B2, B3, Ö1, and Ö2. These lecture rooms can be used to record elements of a course, e.g. blackboard pictures created in class or experiments demonstrated. Live video streams cannot be used as a substitute for a traditional lecture, as they are very resource-intensive. Asynchronous formats, in which the creation of content and its reception are separated in time, allow greater flexibility. Additional information will follow shortly.

18 March 2020: University of Hohenheim Shutting Down On-Campus Operations

Effective immediately, the University of Hohenheim is closing its on-campus operations. What this means is explained below. The President’s Office passed this measure in its meeting on 17 March 2020, implementing the state’s “Ordinance on measures to prevent the spread of infection with the virus SARS-Sov-2 (Corona-Verordnung - CoronaVO)” from 16/17 March 2020.

We want to achieve three goals with this measure:

    • protect the health of University members to the best of our ability,
    • as a University, make a very effective, far-reaching contribution to slowing down the spread of the infection, and
    • maintain the basic functions that are absolutely essential for the University.

To this end, it is necessary to limit the number of people present on the campus to those who carry out work necessary to keep the system running. This significantly reduces the risk of infection for all University members.

In the area of teaching, the start of the summer semester lecture period has been postponed to 20 April 2020. No exams will take place until then. Students will work at home. The lecturers will prepare - in most cases from home - for carrying out courses digitally. More details on this will be provided at a later date.

In the areas supporting science, certain work must be carried out at the University. We have to ensure the technical infrastructure services, care for our animals, and ensure safety on campus, and we want to continue work that will cause serious damage if it is broken off or interrupted. In addition, there are tasks to which we are legally obliged, such as ensuring the solvency of the University or providing indispensable services for the employees.

In research, the on-site work will be severely restricted, but will continue to the extent necessary to ensure that we will be able to restart operations after the crisis without permanent damage.

Only work that cannot be performed from at home is carried out at the workplace in Hohenheim. This means that working from home is the regular form of work.

It is the responsibility of supervisors to define for in their area of responsibility what must be carried out on campus. In the infrastructure facilities, it is necessary to assess which services must be maintained for the campus. All areas of the University - this applies to departments as well as to administrative areas or central institutions - determine which people are needed on campus to ensure basic operations. It can be useful to form two teams: An initial team needed on site to carry out the tasks that must be done on campus. This team comes to the workplace in Hohenheim; a second team is released for precautionary reasons in order to be able to work in rotation later. To this end, releasing employees from duties at full pay is now possible. A substitution arrangement must be established in the event of illness.

Everyone else must work from home. They perform their work there as best they can. We appeal to supervisors to be creative and possibly to distribute other tasks, especially in cases where the regular work of an employee is difficult to perform from home.

In those cases where partial work performance at home is not possible - for example because someone has no childcare or even with a great deal of creativity cannot think of work to do at home - supervisors can also order paid leave of absence. The legal information of the Ministry of the Interior now provides the basis for this, for now until 19 April 2020.

For the formal implementation of the home office measures, the Human Resources Department has provided forms:

    • Updated version Telecommuting
    • Paid leave of absence

More detailed explanations can be found on the forms.

Shutting down on-campus operations means serious restrictions for many. We are convinced that, despite everything, these regulations represent a viable approach in a difficult situation. Further details will be worked out and communicated.

18 March 2020: Regulations on exams

On 16 March 2020, the state government issued a statutory order suspending the operation of studies until 19 April 2020. This means that for the time being neither courses, events, nor examinations may take place. This includes all examinations! Examination deadlines in the relevant examination regulations will be interrupted for this period so there will not be any deadline problems.

We are planning to offer an examination option between 18 May 2020 and 27 June 2020. The plan is for some of the examinations to be scheduled during the Pentacost week (2 - 6 June 2020), but also at times during the other weeks (afternoon/evening) when most courses do not take place or on Saturdays. Examination registrations in HohCampus will be transferred to the new examination date as soon as this date is fixed. Of course it is still possible to cancel exam registration.

These plans are subject to it being possible to carry out exams without risk at that time!

17 March 2020: Request for call forwarding to external number

In the near future there will be a massive increase in the number of employees who work at least temporarily from home. For employees who would like to temporarily divert business calls to a private line, the Technical Department has developed a simplified electronic application procedure for setting up the telephony service feature "Request for call forwarding to external number."

Link: "Request for call forwarding to external number"

The application must be submitted by the supervisors or by their representatives. Please send the completed form by email to the electronics and telecommunications workshop: EKTK@Verwaltung.uni-hohenheim.de and always also in Cc to the person(s) responsible for issuing the order. In this procedure, we assume the order is legitimate and, in this special situation, we are waiving the requirement for a signature. The special authorizations requested in this procedure are automatically deleted after a certain date depending on the course of the crisis.

17 March 2020: Consulation hours and contact with the Graduate Academy

Due to current events, the Graduate Academy has suspended consultation hours from March 18th until further notice. Please contact the team of the Graduate Academy via email or phone. If you want to submit documents, please send them by internal or external mail.

16 March 2020: President's Appeal and extension of the possible working hours

In today's circular mail, President Prof. Dr. Stephan Dabbert appealed to all supervisors: “[...] Our goal is to reduce the direct, personal contacts of the people on campus very significantly by a relevant order of magnitude and thus reduce the risk of infection. The University Management can only provide the framework for this scientifically well-founded approach. You are in charge of the detailed design, since only you know the specific requirements on site! Please assume this responsibility and proceed pragmatically and using your imagination.

Be creative in the distribution of work: For example, people working from home can take on different tasks than they would otherwise perform. Be creative with working hours: The framework working time is now extended to between 5 am - 10 pm. This gives employees with children to look after, for example, the opportunity to perform their work during off-peak hours.

And even if as many people as possible should start working from home, some of them must be on site, for example when technology or animals need to be looked after. However, individual days or afternoons from home could also be conceivable here. In order to maintain operations, redundancy can also be useful in these areas: For example, a division into two groups, one on site and the other ready to take up work alternately. All these are examples and options - please find creative solutions that are appropriate for your particular areas.

16 March 2020: Meetings with more than 5 people must be cancelled

All meetings, team meetings, work meetings, etc. with more than 5 people must now be cancelled or conducted as a virtual meeting. This also affects committee meetings and presentations in appointment procedures. In the latter case, the lectures for appointment procedures are suspended, but not the procedure itself. Holding the lectures virtually would not ensure an accurate assessment of the candidates.

Whenever possible, all meetings should be held as video conferences or by telephone. Video conferencing depends on the appropriate technology, which is available in many locations, but not everywhere. If it is not available where you are, please contact KIM, who will try to support you. A quick guide on how to conduct a video conference and which apps can be used for it will be able to be found shortly in the FAQs on the coronavirus page.

Note: FAQs on coronavirus are updated regularly

You have questions about the coronavirus (COVID-19)? Please have a look at the Corona FAQs, maybe your question is already answered there. The FAQs are continually being revised and kept up to date, as the current situation is constantly changing. If your question is not included, please send an email to corona-fragen@uni-hohenheim.de.

14 March 2020: Information for employees due to school and daycare closures

Due to the coronavirus, the state government will close schools and daycare centers throughout the state starting on Tuesday, 17 March 2020 until 20 April 2020. The university management is aware of the difficulties for the parents concerned and consequently also for the work in many institutions and is already working on ways to support them. For now, the following applies:

Employees are responsible for finding care for their child (e.g. care of the child by the other parent, other family members, etc.). If the necessary childcare cannot be provided, employees have the option of using vacation time, overtime hours they have accumulated, or taking unpaid leave. Based on the operating agreement on telecommuting, the parents concerned also have the possibility to work from home if the necessary conditions exist, i.e. the appropriate tasks and the technical requirements. Coordination between the persons concerned and their superiors is absolutely necessary.

Where possible, flexible handling of working hours (within the limits of the operating agreement on working time) or the possibility of telecommuting should be reviewed in consultation with supervisors. The Human Resources Department has developed a simplified notification procedure for this purpose.

The collective agreement (TV-L) and the corresponding civil service regulations provide for the possibility of being granted a leave of absence from work for up to three days per calendar year in urgent cases, with continued payment of remuneration. This applies to children under 12 years of age and to children with disabilities who are dependent on help.

The current situation can be considered an urgent case. An informal application to the human resources department is nevertheless required if employees wish to make use of this option because of the need for childcare. This must contain a more detailed justification of the need for care and the age of the children.

If the child of a person with statutory health insurance falls ill, a parent is entitled to ten days' leave per calendar year and can receive "child sickness benefit" for this period. Privately insured persons are entitled to a four-day leave of absence as per the collective bargaining agreement. For this we require a doctor’s note.

The Ministry of Science, Research and the Arts has informed us that a regulation for state employees is currently being drawn up centrally for this situation. The above remarks therefore apply provisionally for the time being, until such time as we have received this regulation.
