Final Documents | Degree Certificate

The graduation documents are sent by registered mail. Remember, either...

  1. to change your address in HohCampus or
  2. to send your address to the Examination Office by email if you move after graduation.

However, you can also pick the documents up at the Examinations Office. Inform the Examinations Office in time if you want to pick up the documents.

If you have successfully completed all modules and the final thesis, you will be issued

  • a degree certificate
  • a certificate with an ECTS classification table (ranking)
  • a diploma supplement.

It can take from two to four weeks for the certificate to be issued.

You do not need to apply for your certificate to be issued. The Examination Office creates the certificate automatically when you have completed your studies.

Additional modules as well as the profiles in the degree programs Biology (B.Sc. and M.Sc.), Agricultural Biology, and NawaRo are automatically included in the certificate.  If this information is not to be shown on the transcript, inform the Examinations Office informally no later than the time the last grade is recorded.  Additional modules are always shown with a grade.

Note: Hohenheim does not issue preliminary certificates. Instead, use the transcript of records.

Transcript of Records

The transcript of records offers a compact overview of the progress of your studies. It lists all examinations completed with your grades.

The fastest way to access your transcript of records is using HohCampus. Access and print your current transcripts at any time (for applications or your own records).

Instructions for viewing transcript of records (pdf - in German)

If you need a stamped transcript, you can request one using the online form. Alternatively, you can request a transcript directly at the Student Information Center (SIZ) and take it with you right away in most cases.

Certificate of the Expected Completion of your Studies

Especially for the Foreigners' Office, a certificate of the expected completion of the studies is often requested.

You can receive this certificate on request (by email) from the Examinations Office. Indicate in your email when you plan to complete your studies.

Transcripts | Final documents

Once you have successfully completed your studies, the following documents will be issued:

  • a degree certificate
  • a certificate with an ECTS grading table (ranking)
  • a diploma supplement.

What to do

As soon as a completed degree is entered in HohCampus, the Examinations Office will automatically create your degree documents at the earliest three days after graduation. We will wait three days until after the degree has been posted in case you still wish to submit requests (e.g., module exchange, if you want to pick up degree documents in person, or if you want to have additional modules in the certificate).

As soon as the documents have been created in the Examinations Office, we send them by internal mail to the authorized signatories. These are examination board chairs, deans, or the president. This may take some time.

Once the signed documents have been returned to the Examinations Office, they will be sealed here and then sent to you by registered mail.

Important: The graduation documents are sent by registered mail. This also applies to shipments abroad. If you have any doubts that the delivery of the documents to another country will work without problems, we advise you to collect the documents in person from the Examinations Office.

What do you need to do?
  1. If the grade of your last module has been entered in HohCampus, check whether your completed degree has also been entered. Due to incorrect assignments, you may have achieved the required number of ECTS credits, but the degree has not yet been entered as being complete.

2. Are your modules all assigned as you would like them to be? Remember that it is only possible to exchange modules until the transcript of records has been issued.

3. If you have taken additional modules, these will be included in the transcript of records. However, you can object to the inclusion of the additional modules. Please inform the Examinations Office  of your objection by email before the transcript is issued.

4. Has the title of your thesis been entered correctly? If you notice a typing error or a difference with the submitted title, please contact the Examinations Office.
You can check this in HohCampus in the Study Planner:

5. Please also check your personal details again. It is not uncommon for personal details to be found to be incorrect when the certificate is issued. In particular, check that the following details match those on your identity card/passport:

  • Date and place of birth (including country if you were born abroad)
  • First names and surnames (often middle names are missing)

If changes are necessary, please note the varying request procedures.
Check your address. If your address changes after exmatriculation, you can enter this new address at HohCampus.  This address will then be used for communication after you are no longer enrolled.

6. If you would like to collect the certificate in person from the Examinations Office, please inform the Examinations Office  by email before the certificate is issued.

Certified copies | Apostille

The Examinations Office in Hohenheim does not attach certified copies to your certificate. We also cannot certify copies.

Please contact your town hall or municipal administration for certifications.

Exception: Certifications for embassies

Some embassies require a certified copy which must be certified by the issuing authority, i.e., the University of Hohenheim. If this is the case, please contact the Examinations Office directly.

Exception: Apostille

The Ministry of Science, Research and the Arts Baden-Württemberg is responsible for issuing an apostille. Information on this can be found under the following link: https://mwk.baden-wuerttemberg.de/de/service/apostillen/beglaubigung

For the apostille, a certified copy of the documents to be confirmed must be submitted, and the copies must be certified by the issuing authority, i.e., the University of Hohenheim. Please contact the Examinations Office directly if you need a copy of documents certified by the issuing authority.

Duplicate

Your final documents only exist once in the original. These are the documents you received after graduation.

If you have lost these, you can request a duplicate of the documents by sending an email to the Examinations Office. State your name, date of birth, matriculation number (if you still know it), and your degree program.

The issue of a duplicate is subject to a fee. You must also confirm in writing that you are no longer in possession of the original documents.

You will receive information on how to pay the fee after your request has been received by the Examinations Office.

The production of duplicates takes approx. 2–4 weeks.

Verifications

We will also send confirmed transcripts of records or confirmations of your degree to companies and other universities on request. Please contact the Examinations Office directly.

If you give your consent to a company that we can confirm your degree directly at their request, please note that we will only pass on your data if you sign the consent form by hand.

Certificates

The University of Hohenheim’s Examinations Office issues various official certificates for students. These documents serve as proof of your student status, your grades, or specific phases of your degree. Here you will find information on the available certificates, their intended use, and how you can request them.

On HohCampus  you can print out the following certificates yourself at any time:

  • Transcript of grades (overview) in German or English with all modules or only those that you have passed
  • Registration confirmation
  • Certificate of approved withdrawals during your studies

If you require one of these certificates with a stamp from the Examinations Office, please contact the Examinations Office. When making your request, please let us know whether you require the certificate in paper form or as a pdf.

After your graduation, we will be happy to confirm your graduation if your graduation documents have not yet been completed. The certificate can be issued as soon as your last grade has been entered in HohCampus.

If you do not require a stamp from the Examinations Office as proof of your degree, you can also print out a transcript of records in HohCampus. The degree is also confirmed in HohCampus directly after the last grade has been entered.

Please contact the Examinations Office for a stamped certificate of completion. When making your request, please let us know whether you require the certificate in paper form or as a pdf.

If only one result is still outstanding in the degree program, the Examinations Office can confirm a degree if the respective examiners confirm with what is referred to as a “4.0 certificate” that the work has been passed with at least a sufficient grade (4.0).

The certificate can only be issued once the work has been completed, i.e., the examination has been taken and the thesis has been submitted or defended/presented.

If the thesis is graded by two examiners, the confirmation is also required from both persons.

Once you have obtained the “4.0 certificate” from the examiners, you can request the final certificate from the Examinations Office.

If you require the certificate with a stamp from the Examinations Office, please inform the Examinations Office at the time of your request, as well as whether you require the certificate in paper form or as a pdf.

The Examinations Office will also certify an expected graduation date or period. As a rule, we assume that you can complete 30 ECTS credits per semester.

If you require the certificate with a stamp from the Examinations Office, please inform the  Examinations Office at the time of your request, as well as whether you require the certificate in paper form or as a pdf.

Rankings

You can use HohCampus to display the grades of individual examinations. This allows you to assess your own performance even better.

The following options are available:

The class grades always contains all the coursework and examinations in a semester. It is therefore not divided according to individual examination dates.

Where can you find the class grades?

  1. Log in to HohCampus
  2. The class grades can be found in the function “Achievements"

  3. If you open the menu up to examinations, in the column actions you will see a small “i”.

  4. By clicking on the "i”, the class grades appear

During your studies, we can issue you with a ranking for submission to other universities. In a ranking, your average grade is compared with the average grades of students studying in the same degree program and semester as you.

Please contact the Examinations Office for this. When making your request, please let us know whether you require the certificate in paper form or as a pdf.

After completing your studies, you will receive an ECTS grading table with your graduation documents. There the result is in relation to all graduates of your degree program in the last two years.

If you require a separate ranking, please contact the Examinations Office. When making your request, please let us know whether you require the certificate in paper form or as a pdf.
