The permitted use of the individual rooms for event purposes must adhere to the presented and approved room booking plans for the categories A, B, and C and is only allowed for university-specific events.
The event organizer is obligated to follow the requirements for the applicable and booked category and to have any problems that arise during the event taken care of immediately.
,The maximum capacity laid down in the room booking plans (including the people working in the central building of the Palace and people who require the use of the escape routes) of the categories A, B and C must not be exceeded in the rooms approved for events of these categories:
- Category A: max. 400 people
- Category B:: max. 500 people, of which max. 150 people may be in the Palace Cellar at the same time (permission applies to the University ball only)
- Category C: max. 400 people
- The areas marked green in the room booking plans must be usable in their entire width during the event and emergency exits may not be blocked or closed.
- It must be possible to open both doors of the double escape route doors in the portico.
The event holders are hereby notified that the first upper level does not have an escape route for people with restricted mobility (for people in wheelchairs in particular).

- The coat check and catering areas must be located in rooms.
- Coat checks are not permitted in the hallways.
When actually using the areas marked yellow in theroom booking plans, the requirements of the regulations on event locations (hallway widths, distances, and running distances etc.) must be adhered to:

Materials used for the room equipment and decorations in all foyers and lecture halls must be at least flame-retardant. Hanging decorations must be at least 2.50 m away from the ground. They must not restrict or cover the emergency exits.
Decorations must not cover exit signs, fire extinguishers , or hand-activated alarms.
If the floor of the stage or the podium is higher than 20 cm and not connected to the floor of the room by steps, the stage or podium must be protected on the sides not facing the audience.
The corresponding room booking plan must be hung up at a central point so that it is easily visible.
The rooms marked in yellow in the room booking plans as well as the corresponding emergency exits such as hallways and foyers must be equipped with security lights if the event takes place or continues after dark.
The pictograms must also be labelled. The event holder is obligated to request well ahead of time that the security lights be set up by Technical and Domestic Services.
It is forbidden to light an open fire.
The travel routes on the different floors must be passable in an easy and safe manner. Lines and cables must be installed and covered in such a manner that they can be stepped over without any danger and the use of the emergency exits is not restricted.
It must be guaranteed that all structures are securely fastened and all technical and electrical equipment is intact, secure, and installed correctly. Stands or other structures must be set up according to building and static regulations. Ceiling attachments must be secured doubly. The permitted static maximum load must not be exceeded. Ceiling attachments must be made of non-flammable materials.
Spotlights and projectors must be located as far away as necessary from drapes, ceiling attachments, and decorations to prevent them from catching fire. Brackets and fixtures must be made of non-flammable materials.
