Complete data protection information for DOCATA
The University of Hohenheim operates this portal for the central registration of all doctoral candidates and to manage all acceptance and doctoral proceedings.
You can also use this portal to prepare your Application for Acceptance as a Doctoral Candidate, to view or change your contact details, or to view information on the status of your doctoral proceedings. For this, you have to set up a Docata user account.
Creating a Docata user account is an offer from the University that you can use to make your doctoral proceedings easier. Creating an account is voluntary. If you choose not to set up a Docata user account, this will have no effect on the result of your Application for Acceptance as a Doctoral Candidate or your doctoral proceedings.
If you choose not to create and use a Docata user account, you can receive the necessary forms and information from the University’s faculties. In this case, you can create a Docata user account at any time. To create a user account at a later point in time, please contact the responsible faculty, as the account will have to manually be linked with the data already saved in Docata.
The bolded fields denote mandatory information without which the Application for Acceptance cannot be prepared. The other fields collect information that will make it easier to prepare the application but are not absolutely necessary.
You do not need to enter voluntary information, and this will have no effect on the chances for your acceptance as a doctoral candidate or your doctoral proceedings. For example, entering your availability via telephone or an alternative e-mail address at the University of Hohenheim will make it easier to contact you quickly, e.g. to gather incomplete information. Entering your maiden name (birth name) will make processing easier if your name changes.
Please note that you may have to enter information marked as voluntary in Docata when submitting the Application for Acceptance, e.g. if a résumé is a requirement for acceptance based on the doctoral degree regulations.
The University processes your voluntary information on the basis of your consent, which you declare by entering the data in the fields.
The Docata user account will be automatically deleted after you have completed your doctoral proceedings. The data in your doctoral files saved in Docata is not affected by this.
The University processes the data in your user account on the basis of your consent, which you declare by registering. The data gathered from fields marked as voluntary, in particular the additional contact details, are processed based on your consent. It is possible that this information will be processed further based on legal regulations, e.g. to fulfill the University’s tasks according to the State Higher Education Act (Landeshochschulgesetz).
The additional data on your application and doctoral proceedings are processed according to Sec. 38 of the State Higher Education Act, the respective doctoral degree regulations, and Secs. 13 and 15 of the State Higher Education Act in conjunction with Sec. 2 of the State Higher Education Act.
Your consent may be revoked at any time. If your Docata user account is deleted because you revoked your consent, this will have no negative effects on your acceptance or doctoral proceedings.
You have the right to request information about your personal data saved by the University of Hohenheim and to correct this data if necessary. In these cases, please contact your Dean’s Office.
