According to Sec. 5 of the Health and Safety at Work etc. Act, for each positiona risk assessment to determine the type of occupational preventive care necessary based on the activity must be created. Based on the result, the employees are divided into the categories:

  • Mandatory preventive care
  • Contingent preventive care

Procedure

The process of “occupational health screening” is run by the Occupational Health and Safety Department (FASi) together with the university physician, in which the Human Resources Department is involved. 

The process begins with the hiring of a new employee.

The Human Resources Department informs the institution of the necessity of a risk assessment when sending an employment agreement for

  • a permanent position
  • a position with a term of employment of 2 years or more

The facility prepares the risk assessment according to the type of activity using the applicable form and sends the completed form to the Occupational Health and Safety Department (FASi).

The form can be saved and later reused after modifying it for other workstations.

The Occupational Health and Safety Department (FASi) evaluates the risk assessment together with the university physician, if necessary, and determines the category of occupational health care required. The institution is informed about the result.

In this category, the employer has to arrange  compulsory preventive care for the employees.

Compulsory preventive care must be arranged before starting work and at regular intervals thereafter. The employer may only allow an activity to be performed if the employee has taken part in compulsory preventive care.

What to do

1. Occupational health check-up after the start of employment

  • In this case, the Human Resources Department (APO) is also informed by the Occupational Health and Safety Department (FASi).
  • The employee is requested by Occupational Health and Safety to make an appointment for a preventive occupational health examination with the university physician. 
  • The university physician performs the health screening and sends a confirmation of the completed occupational health screening with details of the next health screening date to Occupational Health and Safety.
  • Occupational Health and Safety makes a corresponding entry in the preventive health file. A copy of the specified occupational health screening type is included in the personnel file.

2. Preventive medical check-up during employment at regular intervals

The Occupational Health and Safety Department shall invite the employee in writing to the next occupational health check-up at the regular interval determined by the university physician and based on the type of occupational health check-up.

Employees at workplaces in the category “Occupational health care  preventive care offer” can make a preventive care appointment with the university physician on a voluntary basis. The institution informs affected staff members of this possibility. APO does not sent an invitation to the screening. The offer is available on an ongoing basis.

In addition to the regulations on compulsory and voluntary preventive care, the employer must provide employees with preventive occupational health care at their request, e.g. in the case of work with computer monitors.

There is no entitlement to elective preventive care if no damage to health is to be expected due to the working conditions and the protective measures taken.

If necessary, employees can contact the university physician or the Occupational Health and Safety Department (FASi).


The risk assessment for the occupational preventive medical care usually does not examine the risk aspects of mental strain. If there are indicators for such a strain, a separate extended risk assessment supported by the Occupational Safety Expert (FASi) has to be made. The facility director has to initiate it by contacting the FASi.
