Submission of grant application

Certain rules apply to the submission of grant applications, proposals, and other forms.

Grant applications, contracts, quotes, and other forms almost always require a legally binding signature.

Only the President or his authorized representative may provide a legally binding signature for the University of Hohenheim.


Obtain signature

The Research Support Department will be happy to obtain the legally binding signature for you.

Please allow at least two working days for this, as we only submit documents that have been checked by us and the process takes some time.


Why does the President sign?

The legally binding signature by the President serves to protect the researchers from personal liability or department / institution liability. 


Documents not legally signed have no official validity if there are problems, i.e. possible liabilities and legal risks may fall back on the signatory not authorized by the University.


Co-signature by executive director of the institute

Grant applications must be co-signed by the executive director of the Institute if:

  • the duration of the requested project exceeds the remaining employment period of the applying scientist,
  • junior research groups are being applied for that are to be directly affiliated with the institute.

By co-signing, the use of resources of the institute is guaranteed for the entire duration of the project or of the junior research group.


Confirmation by the project manager in the case of applications to federal ministries (BMBF, BMEL, FEI, ZIM):

All declarations made in the context of the application and to be signed by the President in a legally binding manner (e.g., declaration of facts relevant to the grant) must additionally be confirmed by the project manager. Please use these declarations for this purpose and submit them to AF together with the documents to be signed by the President (digital submission is also welcome).

Submission restrictions

Sometimes applications may only be submitted by the University management.

In these cases, all Hohenheim applications are collected by the Research Support Department, given to the President and the Vice President for Research, and submitted together with a cover letter in the name of the University and the University management.

Some funding programs limit the number of applications that may be submitted from one institution.

In these cases, AF collects letters of intent and pre-applications from interested parties so that a selection can be made by university management. In such cases, you therefore need to contact us at an early stage.

Electronic submission

Most funding agencies use online portals to submit applications.

We will be happy to advise you if you have problems. For some portals we have our own functional log-in data

Submitting by mail

Often the legally binding signed  application documents still have to be submitted by mail.
