Completing the doctorate

After submitting the dissertation, there is an oral defense and then the work is published.

It is recommended that students go to the Graduate Academy for information about the procedure in this last phase of the doctorate in a timely manner.

Doctoral candidates

  • Acceptance of the application to open the doctoral examination process
  • Formal review of the application

  • Forwarding to the relevant faculty
Faculty
  • Content review of the application
  • Decision on opening the doctoral examination process, appointment of the reviewers and the examination board (this could include different committees depending on the faculty and doctoral degree regulations)
Graduate Academy
  • Request for the reviewers’ reports
    Faculty A: 6 weeks or 3 months to submit the report (depending on the doctoral regulations)
    Faculty N: 4 weeks to submit the report
    Faculty W: 6 weeks or 3 months to submit the report (depending on the doctoral regulations)
Graduate Academy
  • After recommendation to accept the dissertation, circulation procedure (dissertation and reviews viewed by professors and private lecturers within the faculty)
    Faculty A: 2 weeks
    Faculty N: 2 weeks
    Faculty W: 2 weeks, during vacations 2-6 weeks (depending on the doctoral regulations)
Doctoral candidates
  • Determine examination date with the examiners
  • Condition: at least 14 days after the end of the circulation procedure
Examination Board
  • Acceptance of the oral examination or defense (colloquium/disputation/rigorosum) and determination of the overall grade
  • Issues the provisional doctoral certificate (and the “Permission to print” declaration form)
Doctoral candidates
  • If applicable, Revise the dissertation if necessary
  • Have the “Permission to print” declaration form signed by the supervisor
  • Publish the dissertation and submit required copies to KIM (within 1 year following the oral examination or defense)

Graduate Academy
  • After receipt of the signed “Permission to print” declaration form and mandatory copies: Obtains declaration of conformity from the supervisor (i.e., that print copies comply with the reviewers’ requirements)
  • Issues the doctoral degree certificate and obtains signatures from the Dean and President

The Graduate Academy staff accept the Application for Opening the Doctoral Proceedings that was completed in DOCATA and printed out.

You must include all documents required by the doctoral degree regulations when submitting the application. The application can be created with DOCATA.

Both the application for opening the doctoral examination process and the necessary attachments should initially be submitted digitally. The application and attachments should be compiled in one PDF file and sent together with the PDF file of the dissertation by email to ga@uni-hohenheim.de.

In addition, a printout of the documents with original signatures must be submitted promptly by postal mail to the Graduate Academy.

Submission (at the Graduate Academy) for the Faculty of Natural Sciences

Doctoral theses can be submitted to the Faculty of Natural Sciences on a continuous basis. There are no set deadlines.

Important information

Only DISSERTATIONS WITHOUT THE LOGO of the University of Hohenheim may be accepted for the Faculty of Natural Sciences. Please note this for future submissions. All dissertations should always be printed on one side only and only dissertations with a glue binding will be accepted.

If the title has changed when the doctoral examination process is opened, this requires the prior approval of the Dean of the Faculty of Natural Sciences. Please submit a written, informal application for a change of title to the Graduate Academy (with the signatures of the doctoral candidate or supervisor).

Any changes of name must be proven in writing in advance. (Proof of change of name such as marriage certificate, etc.)

Current submission deadlines (at the Graduate Academy) for the Faculty of Business, Economics and Social Sciences

For doctorates Dr. rer. soc. (according to PO 1974/1997) and Dr. oec. (according to PO 1998/2009) , the opening of the procedure is carried out by the Faculty Council.

The date on the letter in which it is confirmed that your dissertation has been accepted by the faculty.

The exam candidate is responsible.

The candidate informs those involved of the date, time, and exam room and confirms that everyone involved in the process (examiners and representatives from the faculty) have agreed to the date.

At each institute there is a person who has access to the University of Hohenheim’s room booking system.

It provides orientation and offers a comprehensive platform with specific pointers, links, and contact persons for early career researchers in the post-doctoral phase. more
